Seminar Room

The Main Campus Library provides individual study pods, personal seminar rooms, group seminar rooms, multimedia seminar rooms, and faculty seminar rooms, all available for free use by faculty and students of the university.

The Shunde Campus Library provides individual study pods and group seminar rooms for free use by university faculty and students.

 

1. Opening Hours

Monday to Sunday, 8:00-22:00. Holiday hours will be announced separately.

 

2. Types of Seminar Rooms

    • Individual Study Pod: Available for individual use by faculty and students. Reservations can be made for the current day and the next day. The reservation is effective immediately upon successful booking without the need for administrator approval.
    • Group Seminar Room: Available for group use (3-8 people) by faculty and students. Reservations can be made for the current day and the next day. The reservation is effective immediately upon successful booking without the need for administrator approval.
    • Personal Seminar Room: Available for faculty and students with research projects.
    • Multimedia Seminar Room: Available for group use (8-12 people) by faculty and students.
    • Faculty Seminar Room: Reserved for faculty members only. Located in rooms 102 and 103 on the left side of the first floor of the Main Campus Library. Access is independent and not restricted by library opening and closing hours.

Personal seminar rooms, multimedia seminar rooms, and faculty seminar rooms require reservations two days in advance, and the reservation will only be effective after administrator approval (no reservations accepted during holidays). Approval results can be checked by logging into the seminar room reservation website – Personal Center.

 

3. Reservation and Usage Methods

    • Online Reservation: Applicants can log in and make a reservation on the seminar room reservation website (https://infospace.smu.edu.cn/#/ic/home). First-time users need to log in to activate the account. The login account and password are the same as the campus network main account. If a user is late by 30 minutes, the system will automatically cancel the reservation and make the room available for others to book.
    • On-site Reservation (Shunde Campus Only): Applicants and group members can make an on-site reservation at the second-floor reservation station of the Shunde Library. Each group member must swipe their card as per the rules. After successful on-site reservation, the seminar room can be used immediately. On-site reservations are effective immediately, and the maximum reservation time is 4 hours.

 

(1) Reservation Rules

    • Personal Seminar Room: Must be applied two days in advance, with project-related content submitted as required. Approval is needed from the administrator before the reservation becomes effective. No reservations are accepted during holidays. During the reservation period, all group members can use the seminar room individually. The maximum usage time for each reservation is 3 days.
    • Group Seminar Room: Can be reserved online in advance for the current day and the next day. Requires a group of 3 or more people, with one person acting as the leader. The group leader can add or remove group members before the reservation is confirmed. After confirmation, group members must click "Agree" within 30 minutes for the reservation to be effective. After confirmation, group members cannot be removed, but additional members can be added. The maximum usage time for each reservation is 4 hours. Each applicant can only reserve one room during the same time period.
    • Multimedia Seminar Room: Requires a group of 8 or more people to apply two days in advance, with administrator approval before it becomes effective. No reservations are accepted during holidays. The maximum usage time for each reservation is 4 hours.
    • Faculty Seminar Room: Requires application two days in advance, with administrator approval before it becomes effective. No reservations are accepted during holidays. The maximum usage time for each reservation is 14 hours.

 

(2) Reservation Cancellation and Violations

    • Personal Seminar Room: If the reservation is not used within 30 minutes and not canceled, it is considered an invalid reservation, and the applicant will be marked for one violation.
    • Group Seminar Room: If the number of people entering the seminar room within 30 minutes of the reservation time is less than the reserved number of people, it will be considered a breach of the agreement, and one violation will be recorded.
    • Multimedia Seminar Room: Same rule as for the group seminar room. If the number of people entering within 30 minutes is insufficient, it will be considered a breach of the agreement, and one violation will be recorded.
    • Faculty Seminar Room: If the reservation is not used within 30 minutes and not canceled, it will be considered an invalid reservation, and the applicant will be marked for one violation.
    • Three Violations: If there are 3 violations, the user's reservation privileges will be frozen for one month.

 

4. Usage Notes

(1) Users must comply with all regulations of the library.

(2) Users should inspect the room's furniture and equipment at the beginning of use. If there are any issues, please report them to the administrator.

(3) Please take care of the items in the seminar room and keep the environment clean. Do not move furniture or equipment between rooms.

(4) Please take valuables with you and store them properly.

(5) After use, place library materials in the designated area and take all personal belongings. Ensure that all equipment, doors, and windows are closed.

(6) Staff members have the right to enter the room during inspections and advise against any violations.
